Midwich transforms document management with Formpipe's Lasernet solution

Midwich Limited, a leading trade-only distributor of technology solutions, develops commercial proposals in AV, IT, and document solutions for the hospitality, healthcare, retail, education, corporate, and public sectors.

As part of its Dynamics 365 implementation, Midwich began looking for a solution that could help it manage an array of output documents, including invoices, remittance advice, purchase orders, and customer account statements, across multiple legal entities and in various languages. By using Formpipe's Lasernet output management solution, Midwich has revolutionized the way business documents are created to fulfil customer requirements.

Collaboration was key to success

The implementation was completed in nine months, from installation and configuration to training and development. The transition has empowered Midwich to digitize outbound communications with customers while helping it import data with ease and precision.

DXC and Formpipe worked collaboratively with Midwich on solution deployment, configuration, document development, and training, providing customers with in-house skills to develop and amend documents. The Lasernet output management solution is capable of creating, distributing, and archiving business documents in any format (email, fax, PDF, PDF/A, EDI, XML) to meet customer requirements in an intelligent and structured manner.

Standard functionality challenges

The way business documents are communicated is vital to their success. A business document can create and enhance corporate identity, but an organization must adopt the right solution to be able to meet the challenges of changing formats, media, and ERP systems.

Midwich had a very specific output requirement for customer financial account statements, which needed to display the correct bank account details based on currency and customer order reference. This functionality requirement is not part of standard report capacity or underlying table structures.

Midwich also faced functionality challenges in using standard SQL Server Reporting Services (SSRS) because it lacked the flexibility to deal with the level of changes required. As a result, Midwich had to customize output documents in Dynamics 365, which proved to be labour-intensive and came at a significant financial cost.

Exploring future applications

The beauty of Lasernet is in its versatility. JMP has fundamentally changed its document management process, but there’s still more that can be done to increase operational efficiency. With a strong document management foundation now in place, the JMP team sees a clear path to tackling one of the company’s most time-consuming processes: creating submittals.

For their sales and engineering teams, this would mean replacing hours of tedious manual document creation with an automated process that pulls the correct data into the proper format.
