The growing requires new solutions
With its 110,000 inhabitants, the municipality of Huddinge belongs to Sweden's fifteen largest municipalities. Thanks to a clear strategy for business development, it has long been at the forefront when it comes to IT investments and IT security. Investments in, for example, case management have been a priority area for a long time.
But as the municipality grew, they needed to find a more scalable system for document and case management. The old solution had its limitations, and the municipality could not meet the needs that arose in connection with the strong growth. To achieve this, new brands and a new supplier were required.
Clear requirements and anchoring
Expectations were high. A solution was needed that was modern and forward-looking, but at the same time robust and adaptable. After a long procurement process, the choice fell on W3D3 by Formpipe.
- According to the requirements specification, it would be used by a number of municipalities that are the same size as ours and support our internal and very high demands on order and structure. According to our analyzes, W3D3 best suited the needs, says Kerstin Z Johansson, head of the municipal board's office in Huddinge municipality.
A reference group was involved before, during and after the project and had a large participation in the rollout. Today, more than 1,500 people work in the system and it has also been connected to other case management systems. The entire case flow in one place.

Why has the municipality of Huddinge succeeded so well with its document and case management? In addition to the fact that W3D3 has taken a central place in the business, Kerstin believes that the key to success lies in the fine preparatory work and the well-executed anchoring process.
- We anchored the benefit of the system both upwards and downwards in the organization. We received support from both the top management and those who work in the system on a daily basis, she says.
The result? A more flexible solution, reduced administrative costs and increased societal benefits for citizens in the municipality of Huddinge.
