This creates a challenge both for the organisation and the users. When the Teams and Team sites are born daily, it is getting hard for the users to find and keep track of all islands of information. For the organisation, it can be almost impossible to govern and to stay compliant with different regulations like GDPR.
Order and Structure
Contentworker Online brings order and structure into Office 365 and Teams. It creates workspaces (Office 365 team sites, with or without Teams) in a controlled way. Sites are created from templates based on the type of workspace. Each workspace contains a protected structure of folders, that the users cannot delete, rename or move. In these protected folders, users can still create sub-folders. Workspaces can be created manually or automatically from an external system, such as CRM or ERP.
Users get a tree view in the SharePoint Online interface in Office 365 where they can navigate their favourite and recent workspaces. In combination to this they can also pin workspaces they want easy access to.
Automatic Content Tagging Unleash the Power of Search
Contentworker Online automatically adds metadata to all documents from the context. For example, a user stores a document into the specification folder in the workspace for Project X, that is a Delivery project for Company Y. The document will automatically get metadata Document Type=Specification, Project ID=1234-5, Project Name=Project X, Company ID=9999, Company Name=”Company Y”, Workspace Type=”Delivery Project”. All these properties can be used to search and filter content in Office 365.
Contentworker Online is installed in the customer’s Office 365 and is powered by functionality in Microsoft Azure. The latter can be both in the customer’s subscription or hosted by Formpipe or one of our partners. Contentworker Online does not take over the entire Office 365 but allows the customer to easily add selected Team sites into the control of Contentworker Online.
