At the forefront of the digitalization journey
In collaboration with Örebro Municipality, Formpipe developed its solution for advanced digital signatures—Signeringsportalen—in 2019. Just a year later, Region Jämtland Härjedalen decided to adopt the solution, becoming Formpipe's first user of Signeringsportalen as an integrated part of its case management system, Platina. This opened the door to a more efficient and comprehensive digital approach to the organization's administrative tasks, while providing invaluable user input for system integration.

Covering a geographic area larger than Denmark, Region Jämtland Härjedalen, with its approximately 4,500 employees, is constantly challenged to develop its organization as resource-efficiently as possible.
For several years, the region has been a frequent user of Formpipe's document and case management system, Platina, which is broadly implemented within the organization. When the decision was made in 2020 to introduce Signeringsportalen, the portal was seamlessly integrated into the existing Platina environment. This integration allowed the region to expand Platina's capabilities further by enabling the creation and management of signing cases directly via Platina, while the signing itself occurs in Signeringsportalen.
The region's decision to adopt Signeringsportalen for advanced electronic signatures proved to be timely, particularly given the uncertainty during the early stages of the COVID-19 pandemic.
– Signeringsportalen has greatly facilitated the handling of documents such as meeting protocols and decision-making materials that require signatures within political processes. This was especially beneficial during the pandemic when manual signing processes took extra time due to signatories being spread across the region, says Jessica Hådell, case officer at Region Jämtland Härjedalen.
By implementing Formpipe’s Signeringsportalen, Region Jämtland Härjedalen has strengthened its digital capacity and modernized its signing processes. The swift transition to digital signatures enabled smooth workflows during a time of global uncertainty. The efficiency and traceability of the signing process have significantly improved, leading to better overall document and case management within the region.

Signing for the future
Both Carina Söderberg and Jessica Hådell have worked with the region's systems and digitalization efforts for several years and were both involved in the introduction of Signeringsportalen. The project was characterized by close communication and collaboration, ensuring an efficient initial installation of Signeringsportalen within the Platina environment.
– We encountered no major issues during the implementation of Signeringsportalen. Everything went smoothly, and if we ran into challenges along the way, we felt confident knowing that Formpipe was there to support us, says Carina Söderberg, Business Development Strategist at Region Jämtland Härjedalen.
Looking ahead, the region sees great potential for broader use of Signeringsportalen. While it is already widely used, its primary users are the secretariat of the coordination office and, to some extent, the procurement unit. A key obstacle to wider adoption is ensuring that all parts of the organization can fully handle the digital signing workflow, as final storage of signed documents is currently still done in analog format.
Nonetheless, the ambition is clear: Region Jämtland Härjedalen is eager to expand the use of the solution across larger and more diverse parts of the organization.
– According to our statistics, 189 signatories currently use Signeringsportalen, most of whom are part of the coordination office. It would certainly be both exciting and beneficial if more units within the organization could make use of Signeringsportalen, says Jessica Hådell, case officer at Region Jämtland Härjedalen.
